Payment Policy

This Payment Policy outlines the billing practices, accepted payment methods, refund procedures, and
financial obligations associated with using GolfGeeks LLC’s services. By making a purchase, booking, or
enrolling in a membership, you agree to the terms outlined below.
By purchasing a membership, reserving a booking, or maintaining a payment method on file, you authorize
GolfGeeks LLC to charge the payment method on file for all valid amounts due, including membership fees,
booking fees, taxes, approved event charges, late-cancellation fees, no-show fees, cleaning fees, and
documented damage or repair charges arising from your use of the facility or the use of the facility by your
guests.
1. Accepted Payment Methods
GolfGeeks LLC accepts the following payment methods:
- Major credit cards (Visa, Mastercard, American Express, Discover)
- Debit cards
- Digital wallets (Apple Pay, Google Pay) where available
All payments are processed through our secure third-party payment processor. GolfGeeks LLC does not store
your full credit card or debit card information on our servers.
2. Membership Billing
Monthly Memberships
- Monthly membership fees are automatically charged on the same date each month as the date of your
initial enrollment. - You must have a valid payment method on file at all times during an active membership.
- If a payment fails, GolfGeeks LLC will attempt to process the charge up to two (2) additional times
within a 7-day period. If all attempts fail, your membership will be suspended until payment is
resolved. - Suspended memberships do not carry over unused benefits. Access and booking privileges are paused
immediately upon suspension.
Annual Memberships
- Annual memberships are billed as a single upfront payment of $1,650.
- Annual memberships are non-refundable once the membership period has begun, except as required by
applicable law. - Annual memberships auto-renew at the end of the 12-month term unless cancelled at least 30 days
prior to the renewal date. - Renewal reminders will be sent to the email address on file at least 15 days before the renewal
charge. Customers may stop recurring billing by contacting GolfGeeks LLC in writing prior to the
renewal date.
3. Hourly Tee Time Payments
- Hourly Tee Time bookings ($50/hr) are charged at the time of booking.
- Happy Hour rate ($40/hr) applies Monday through Thursday, 8am-1pm, subject to availability.
- Payment is required to confirm your reservation. Unpaid bookings will be automatically released.
4. Cancellation & Refund Policy
Because GolfGeeks LLC has a limited number of simulator bays, we ask all members and guests to respect
the following booking policy. The same cancellation terms apply consistently across all reservations.
2-Hour Cancellation Window
Reservations cancelled at least 2 hours before the scheduled tee time may be rescheduled or refunded in
full.
Late Cancellations
Reservations cancelled within 2 hours of the scheduled start time may be rescheduled or will incur a 50%
cancellation fee.
No-Shows
Failure to arrive for your reservation without notice will result in 100% of the booking fee being
charged. Repeated no-shows may result in account action: 3 no-shows – you will be contacted regarding
the missed reservations; 4 no-shows – your account will be flagged; 5 no-shows – your account will be
suspended until the next billing cycle.
Late Arrivals
If you arrive after your scheduled start time, your session will still end at the originally scheduled
time. Late arrivals will reduce the amount of simulator time available, as bookings cannot be extended
beyond the reserved time.
Group Events & Private Bookings
Large group bookings, events, or bay buyouts require 48 hours’ notice for cancellations or rescheduling.
Why We Have This Policy
GolfGeeks LLC operates with a limited number of bays, and late cancellations prevent other members from
booking valuable simulator time. This policy helps ensure fair access for everyone.
Membership Cancellations
- Monthly memberships may be cancelled at any time by providing written notice to GolfGeeks LLC at
least 7 days before your next billing date. - Cancellations take effect at the end of the current billing period. You will retain access through
the remainder of the period you have already paid for. - No partial-month refunds will be issued.
- Annual memberships are non-refundable. If you wish to cancel an annual membership, access will
remain active through the end of the paid annual term.
Event & Tournament Fees
- Registration fees for events, leagues, and tournaments are due at the time of registration.
- Event cancellations by the participant made at least 7 days before the event date will receive a
full refund. - Cancellations within 7 days of the event are non-refundable unless the event is cancelled by
GolfGeeks LLC. - If GolfGeeks LLC cancels an event, all registered participants will receive a full refund.
5. Discounts & Promotions
- Membership discounts (Additional Hours, Merch, League, Tournament) are applied automatically based
on your membership tier. - Promotional offers and discount codes are valid only for the specified promotion period and cannot
be combined with other offers unless explicitly stated. - GolfGeeks LLC reserves the right to modify or discontinue promotions at any time without notice.
6. Corporate Accounts
Corporate accounts are available for businesses looking to provide GolfGeeks LLC access to employees or
clients. Corporate billing terms, including invoicing schedules and payment terms, are established at
the time of account setup. Please contact us for corporate pricing and arrangements.
7. Property Damage Charges
Customers are responsible for damage to GolfGeeks LLC property caused by their negligence, misuse,
intentional conduct, or the negligence, misuse, or intentional conduct of their guests, including but
not limited to simulator screens, projectors, sensors, walls, or furnishings. GolfGeeks LLC may charge
the payment method on file for documented repair or replacement costs after providing notice of the
charge and, upon request, reasonable supporting detail.
8. Taxes
All prices listed on our website and at our facility are exclusive of applicable taxes unless otherwise
stated. Sales tax will be added to your total at the time of purchase in accordance with Texas state and
local tax requirements.
9. Chargebacks & Disputes
If you have a billing concern, please contact us at hello@golfgeeks.com before initiating a chargeback with your
bank or credit card company. We are committed to resolving billing issues promptly and fairly.
Chargebacks initiated without first contacting GolfGeeks LLC may result in suspension of your account
and membership privileges until the dispute is resolved.
10. Pricing Changes
GolfGeeks LLC reserves the right to adjust pricing for memberships, hourly rates, events, and other
services at any time. Active members will be notified at least 30 days in advance of any pricing changes
that affect their membership. Pricing changes do not apply retroactively to prepaid annual memberships
during their active term.
